How we collect, use, and protect your information.

FootagePipelineSoftware.com ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights regarding that information. By purchasing, downloading, or using FootagePipeline, you agree to the practices described in this policy.

1. Information We Collect

1.1 Account and License Information

When you purchase a FootagePipeline license, we collect:

  • Your email address
  • Your license key(s)
  • Number of seats purchased
  • Payment transaction reference (Stripe session ID)
  • Stripe customer ID and subscription ID

We do not store your full credit card details. Payment processing is handled entirely by Stripe (see Section 4).

1.2 Device and Activation Information

When you activate or validate your license, our license server records:

  • A machine identifier (a hash generated on your device — not personally identifiable on its own)
  • The FootagePipeline application version you are running
  • The date and time of the last successful validation

This information is used solely for license enforcement (machine limits) and to provide version-aware support.

1.3 Website Information

When you visit footagepipeline.com, standard web server logs may record your IP address, browser type and operating system, pages visited, time of visit, and referring URL. This website does not use third-party analytics tracking cookies.

1.4 Support Communications

If you contact us by email, we retain those communications to resolve your issue and improve our support.

1.5 Information We Do NOT Collect

  • Your footage, video files, or media assets — these never leave your machine
  • Your DaVinci Resolve project files
  • Your Anthropic API key
  • Any catalog metadata, transcripts, or AI analysis outputs generated by the software — all AI processing runs between your machine and Anthropic directly using your own API key; we are not a party to that data flow

2. How We Use Your Information

We use the information we collect to:

  • Issue and deliver your license key(s) by email
  • Activate and validate your license across permitted devices
  • Enforce machine limits and prevent license abuse
  • Process subscription renewals and cancellations via Stripe
  • Respond to support requests
  • Notify you of material changes to the software or these policies
  • Detect and prevent fraud or terms violations

We do not use your information for advertising, profiling, or sale to third parties.

3. Legal Basis for Processing (GDPR)

If you are located in the European Economic Area or United Kingdom, we process your personal data under the following legal bases:

  • Contract: Processing your email address and license data is necessary to fulfil your purchase and deliver the software license.
  • Legitimate Interests: Recording machine IDs and app versions to enforce license terms and provide version-appropriate support.
  • Legal Obligation: Retaining transaction records as required by applicable tax and accounting laws.

4. Third Parties We Share Data With

We share your data only with the following service providers, and only to the extent necessary to deliver our service:

4.1 Anthropic (AI Features)

The FootagePipeline software includes optional AI features that connect to the Anthropic Claude API. These features use your own Anthropic API key, configured by you. When you use these features, footage catalog metadata (clip names, timecodes, transcript text) is sent from your machine directly to Anthropic's servers. We are not a party to this data transmission. Raw media files are never transmitted. You are subject to Anthropic's Privacy Policy.

We do not sell, rent, or trade your personal information to any third party.

5. Data Retention

  • License records: Retained for the life of the license plus 7 years for accounting and legal compliance
  • Machine activation logs: Retained for the life of the license
  • Support emails: Retained for 3 years after the issue is resolved
  • Website server logs: Retained for up to 90 days
  • Stripe transaction records: Retained per Stripe's own retention policies

6. Data Security

We take reasonable technical measures to protect your data, including HTTPS encryption for all data transmitted to and from our license server, RSA-signed license tokens, access to license records restricted by secret admin credentials, and cloud infrastructure security controls provided by Railway. No method of transmission or storage is 100% secure. Please keep your license key confidential and notify us immediately if you believe it has been compromised.

7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate data
  • Deletion: Request deletion of your data (subject to legal retention obligations)
  • Portability: Request your data in a portable format
  • Objection: Object to certain processing activities
  • Withdrawal of Consent: Where processing is based on consent, withdraw it at any time

To exercise any of these rights, contact us at info@footagepipeline.com. We will respond within 30 days. EU/UK residents may also lodge a complaint with their local data protection authority.

8. Children's Privacy

FootagePipeline is professional software not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, contact us and we will delete it promptly.

9. International Data Transfers

Our license server is hosted in the United States. If you are located outside the United States, your data will be transferred to and processed in the US. By using FootagePipeline, you consent to this transfer. If you are an EU/EEA resident, we rely on Standard Contractual Clauses or other approved transfer mechanisms where required by GDPR.

10. Cookies and Tracking

The FootagePipeline desktop software does not use cookies. The footagepipeline.com website does not use third-party tracking cookies or analytics tools. Only essential session functionality is used where required for the contact form.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top. For material changes, we will notify you by email or by a notice within the software. Continued use of FootagePipeline after changes take effect constitutes acceptance of the updated policy.
